Overview – Board of Directors

  • More detail on the six open Director positions is provided in the table below. Contested positions will be decided by vote at the Annual General Meeting on November 20, 2019.
  • Members of the Board of Directors are expected to submit written reports and attend regularly scheduled board meetings. Board meetings are typically held 7:00 pm to 9:00 pm on the second Wednesday of the month. Estimated time = 3 hours per month.
  • There are no scheduled board meetings in July and August to accommodate summer vacations. The December meeting is typically a welcome to the Board and a holiday celebration.
  • Board member attendance at organized events is highly encouraged

Overview – Committee Positions

  • Efforts of the Board are greatly facilitated through the help of individual volunteers working on specific tasks. These tasks are limited in nature and can easily fit in the busy schedules that our members often face. We are looking to assemble a pool of volunteers who can be called upon when assistance is needed.
  • On occasion a committee member may be asked to attend a board meeting.
  • Experience with the tools we use is very helpful but not required except where noted below. Training is provided.
  • The tools we use are: WordPress, MailChimp, Eventbrite, PayPal, Facebook, Twitter, Google Calendar, Microsoft Word/Excel/PowerPoint, and Adobe Acrobat.

Overview – Extra Hands

If you can’t commit to a Board or Committee role, we can always use extra hands to handle one-time tasks such as staff a registration table, stuff name tags, present a science fair award, or tend a booth for an hour or two. The actual task would depend on the activity. If ad hoc support is more your speed, please consider putting your name on the distribution list that is used when a little extra help is needed.

Mentorship:

Available position:  Director

The “Mentorship Program” connects post-secondary students and industry professionals to provide support, direction, and advice in order to guide education and careers in science or engineering.

  • Director has overall responsibility for the Mentorship Program. This is a good spot for an organized member who enjoys coaching and believes good mentoring is important to career success.
  • Administrative assistance by staff is available.
  • Program is held twice each year, once each in the fall and winter semesters.
  • Implementation phases consist of recruitment and matching of mentors and mentees, an opening session, mid-program follow up, a closing session, and final survey and report.

Estimated time commitment:

  • 3 hours per month for Board meeting
  • 5-10 hours each in the fall and winter semesters. Most is planning time done in September and January.

Speaker Series

Available positions: Director, Committee members

The “Speaker Series” is a regularly scheduled event, open to the public and designed to tell the story of women’s contributions in science and engineering.

  • Director has overall responsibility for the Speaker Series. This is a good spot for someone who enjoys organizing events, facilitating the sharing of knowledge, or celebrating the experiences of technical women.
  • There is a minimum of six Speaker Series events, usually held September-June. Implementation phases consist of identification of an annual theme, selection of speakers, event logistical arrangements, event promotion, and follow-up as required.
  • Looking to establish a team of 2-3 who would share handling of the event logistical arrangements and promotion as well as other tasks assigned by the Director.
  • A new variation, “Speaker Series on the Go”, is designed to expose members to non-technical topics of importance to technical women. This concept requires further development.

Estimated time commitment:

  • 3 hours per month for Board meeting (annual theme, identification of potential speakers done at meetings)
  • 1 to 2 hours per session to secure speakers, spread over September-June
  • (Committee) 1 to 2 hours per session for logistical arrangements and promotion
  • 3 hours attendance per session, spread over September-June

Leadership Series

Available position: Director

The “WinSETT Leadership Program (St. John’s Series)” is a set of professional development workshops tailored to early and mid-career female engineers, scientists, technologists and tradespersons in science and technology based sectors.

  • Director is the liaison with the WinSETT Centre who delivers the program. The Director negotiates the terms of the delivery agreement for final approval by the Board, and ensures that WISE NL commitments are honored. WISE NL typically arranges the venue and assists in promoting participation.
  • Director provides annual final report to Board and to sponsors as applicable.
  • The Director would also consider other programs for possible delivery so this is a good spot for someone who values continuous professional development

Estimated time commitment:

  • 3 hours per month for Board meeting
  • 1 to 3 hours to negotiate and finalize delivery agreement, secure venue. Usually done in the fall and completed by mid-November.
  • 1 hour to generate annual final report

Membership

Available positions: Director, Committee members

Membership is responsible for the recruitment, retention, and overall satisfaction of individual and corporate members.

  • Director has overall responsibility for membership; brings recommendations to the Board for consideration.
  • Director ensures that renewal notices are sent in a timely manner and updates the membership database accordingly.
  • Looking to develop a team of 2-3 people to share administrative tasks addressing specific Membership deliverables (i.e. renewal notices, membership database, and membership forms), and supports the Director as required. Tools used: Excel, MailChimp, WordPress

Estimated time commitment:

  • 3 hours per month for Board meeting
  • (Committee) 2 to 4 hours per month to distribute (November) and process (January) renewal notices

Communications

Available positions: Director, Committee members

Communications ensures timely distribution of information to all constituents through traditional and social media channels that is consistent in style and presentation.

  • Director has overall responsibility for communications; brings recommendations to the Board for consideration.
  • Director ensures that WISE NL events and activities are properly promoted
  • Specific deliverables: Annual Newsletter, periodic WISE Notes
  • Looking to develop a team of 2-3 people to share tasks toward the promotion of WISE NL activities through traditional and social media channels, and to support the Director as required. Tools used; WordPress, Facebook, Twitter, Eventbrite, MailChimp

Estimated time commitment:

  • 3 hours per month for Board meeting
  • 2 to 6 hours for the annual newsletter
  • (Committee) 1 to 3 hours for each issue of WISE Notes
  • (Committee) Promotion of each event or activity depends on the required messaging

Operations

Available positions: Director, Committee members

Operations is responsible for the maintenance of all systems associated with the wisenl.ca domain (website, email, distribution lists), providing technical support to WISE NL organizers, and for ensuring all relevant documents are accessible online to the Board.

  • Director has overall responsibility for operations; brings recommendations to the Board for consideration. An organized person with prior experience with website development or maintenance WordPress would be wonderful.
  • The Director would also work with the Board to address supportability issues related to existing processes, and participate in strategic planning discussions intended to ensure long term sustainability of operations.
  • Looking to assemble a team of 2-3 members with the technical skills to share routine support tasks as assigned by the Director. Training is provided so this is a great opportunity for those in administrative work roles who still enjoy an occasional technical challenge. Prior experience with HTML is highly desirable.

Estimated time commitment:

  • 3 hours per month for Board meeting
  • Associated management and oversight estimated at 1-2 hours per month.
  • Training estimated at 2-4 hours for initial session, afterwards training will vary according to task and level of prior experience.
  • (Committee) Routine support estimated at 1 to 3 hours per month depending on the task and experience of committee member.
